This page describes how to create an eVite to help coordinate your Reed College alumni event.

By using eVite, it’s possible for potential attendees to see who else is attending without requiring additional work (beyond creating the eVite) on the part of the event organizer. It also creates a map to the venue for you. eVite can also be used to work out a time and location for ad hoc events, like a trip to the theater planned on a weeks notice.

An example eVites for the new graduate pizza party are available:

This page a work in progress, your comments are appreciated. At some point it will be posted on the alumni association site.

First off, its important to understand that pretty much any choice you make when setting up your eVite can be changed later. So, for example, you don’t have to spend a lot of time picking the visual theme when you first set up the eVite.

  1. Go to Evite.com

  2. Choose Create an invitation from the top of the first column

  3. Pick a theme you like (this can be changed later) and continue

  4. Enter all the details for your event (title, location, time, date, etc). I suggest choosing a larger font size than the default when typing the message to guests with background on the event.

  5. Change the invitation options to create a URL that can be included in e-mail announcement you send to your chapter We will have to return here later, once the event has been published, in order to find the assigned URL.

  6. Move on to the next step by clicking the Add Guests button at the bottom. We won’t be using e-vite to e-mail alumni, but we have to pass through this step.

  7. Click Send Now on the next screen Optionally, you can choose to have eVite e-mail you whenever someone RSVPs before clicking send now

  8. If you aren’t already logged in to eVite, you’ll be asked to either register a new account, or sign in. If you have to register a new account I suggest using your alumni forwarding e-mail address. Once you register, you’ll need to wait for a verification e-mail before returning to the site to verify your account and send (publish) the event you just filled out

  9. Once the event has been published you’ll need to return to the eVite home page, choose to edit the event and revisit the Create a URL for Invitation section of the Invitation Options section (step #5) in order to get the URL you can send along with your invitation from the alumni office. eVite doesn’t make this as easy as it should be. You’ll have to copy and paste the URL in two chunks

  10. Send the URL along with the rest of your announcement to the alumni office to distribute. Consider providing an e-mail address and phone number for RSVPs from people who don’t feel comfortable using eVite.

You’ll return to eVite periodically to see the RSVP status of people. You can also use eVite to communicate with people if there is a change of plans.

Please, if you have any suggests on how to improve this document, make a comment at the bottom of the page.
